As summer winds down (oh no!) queries are coming in about the schedule for MW2011. So here are some details:

When?

  • Museums and the Web 2011 takes place April 6-9, 2011

Where?

  • Philadelphia, Pennsylvania, USA, at the Loews Hotel [see Google map]

How do I propose a paper?

  • Call for Papers Available [PDF]
  • Deadline: September 30, 2010
  • Proposals are extended Abstracts, with full details (including biographies) of all co-authors
  • Full written papers for all accepted proposals are due January 31, 2011.

When can I propose?

How are Proposals reviewed?

  • All proposals are peer-reviewed by an International Program Committee and the Conference Co-Chairs
  • Program Committee Review takes place in October.

When will I know if I'm successful?

  • Authors of successful proposals will be contacted in November.

When will the program be announced?

  • The preliminary program for Museums and the Web 2011 will be announced in December, 2010.

When can I register?

  • Online registration will be avaiable with the MW2011 program, in December 2010.

How much with MW2011 cost?

  • We don't anticipate any changes from past registration rates.

    Early: $600
    Regular: $650
    Just-in-Time: $700
    On-site: $800
    Discount for 5 or more from the same institution: -$50 each

    Full Time Student (no discounts): $350
    Single Day: $350

    Full Day Workshop: $300
    Half Day Workshop: $175
    Discount for second half day workshop: -$25

Thanks for your offer, Lisa, but we have already got all of the volunteers we need. These positions are very popular, and fill up really quickly.

There was almost a full complement for MW2011 by the end of 2010.

Hi Josh,

Yes, reception tickets – and the first-timers' orientation – are included in the full conference registration fee. There are 'extra' tickets available for people who are travelling with companions and want to bring them to the parties.

i'll admit that i'm biased ;) but one of the great things about Museums and the Web is that it provides a unique opportunity to get a snapshot of the 'state of the Web'. 

if you're just beginning to consider what to do, one of the best ways to push your thinking is to look at a lot of examples, and talk to lots of people. many aspects of the MW2011 program – like the Demonstrations – are designed to give you an opportunity to do just that!

and don't worry about being new to it all. we all started somewhere, and there are events like the First Timers' Orientation designed to help you meet people and get the conversation started!

If you're interested in how the proceedings are developed, see the post David wrote about the process at MW2009.

While the process isn't exactly the same this year with the new Drupal based systems, it's close.

Also, the paper is only visible in the sessions program when I am logged in - why is that?

hi Ditte,

we're reviewing MW2011 papers now, and they are on their way to the copy editor. they'll then be marked up in HTML and mounted on the conference web site. some will appear in the print Selected Papers.

no-one else is supposed to be able to see your uploaded files, as that's not the final published version of your paper. File upload is an administrative function that's designed to help us keep track of things. it's hard to believe, but there were more than 430MB of files submitted!

i'll check on your paper for you, so you're not anxious.

 Yes, MW2011 has negotiated a special rate of $219 [single or double] backed by Lowes Best Rate Pledgemake your reservation by March 15, 2011 to receive this rate.

There's more detail on the MW2011 Local Information page.

It's very nice hotel in a great location, and is just the right size for us to 'take over' for a week of MW discussions.

Bonjour,

We were wondering if you have guidelines on- or offline about reproducing our M&W paper in English and otherwise.

1) What are your guidelines for reproducing the article in a contributor's own online resources area if properly referenced back to the original?  

2) We'd like to have our paper translated for our French audience.  Can or should we a) make this available on our own site, b) submit it to M&W to accompany the English (post-January 31, unfortunately), or c) perhaps add a French abstract to the English article on the M&W site later on?  Or any combination thereof, of course.

Hi Dave,

We publish all MW papers under a CC-BY-NC license which would make any of them available for translation and free online publication by CHIN, with appropriate credit/acknowledgement. Under an NC (non-commercial) license you can't charge for something that includes the papers without further permission.

Your use of own paper is governed by the license that you give to us for publication in the MW2011 License and Permission Form. While it grants us the right of first publication, you retain copyright. So you can translate, republish, redistribute, or whatever, as long as you honour the agreement to include the citation, and link to the original version of the paper.

Whether we could include the French-language version of your paper on the MW2011 conference site likely has more to do with production schedules for the conference than with licenses, though. Let's take that discussion off-line. Can you please contact us with an estimate of when you'd have a French translation available?

5,000 words is a recommended length. you're not writing an assignment for school; you should write the paper that does your ideas justice.

we won't cut you off at the 5,000th word. nor will we penalize you for writing only 4,000 -- if they are 4,000 good words ;)

we just ask that you remember your readers, and write the best paper you can, as succinctly as possible.

My MSOffice software version is refusing to recognise the .dotx MW2011 Word Template, and this is despite following all the routes suggested on this site and those on other online forums.

Do you please have a .dot version of the MW2011 Word Template that I could use?

i've just made a .dot version of the MW2011 Paper Template for download, and linked it into the MW2011 Paper Guidelines page as well.

could you please let me know if you're successful with it? we don't have a machine running an older version of Word that's easily accessible at the moment, so i haven't been able to test.

Hi Loic,

The MW2011 Paper Guidelines have just been revised and are linked from the Speakers Page.

Image guidelines are in section 6. Illustrations and Figures and the two sections below, related specifically to images for web and print production.

There's also a Word template to download, that also includes the Guidelines.

Thanks for asking! Submissions that follow the guidelines make it possible for us to get all papers through production and online before MW2011 in April.

Unfortunately, we've now filled all of the volunteer positions for MW2011.

If you would like to be added to the waiting list, you can still submit the form. We'll take volunteers from the list if places become available.

There's an option on the Museums and the Web (MW2011) online Registration Form to add a workshop to an existing registration.

Under "Special Registration" check "Already Registered. Adding Workshop / Tour Below". [This is the very last option in the Conference Registration section].

Then you can pick the workshop or you'd like to add, and enter payment options. You'll only be charged for the additional items.

I was wondering if there was any headway on webcasting for the 2011 April conference? I'd be very happy to listen in and take part in the discussions. I see that this is an older post, but maybe the question should be raised again? Im a graduate student in Toronto, and unfortunately the $ to attend is a bit out of my price range these days.

i've moved your comment to the MW2011 thread to make it easier for others to find.

right now, there are no plans to webcast from MW2011 in Philadelphia. we're a really small organization, and need to focus our attention during MW on making the on-site conference experience as good as it can be for everyone in attendance. i personally believe that conferences are about face-to-face interpersonal communication, and that the conversations that happen in the halls are more important than anything else – even hearing the presentations [and i'm often teased about saying that during an MW Opening Plenary].

we do a lot before and after the conference to enable the content from Museums and the Web to be available to people who can't attend.

  • all the papers presented in sessions at MW2011 will be published online before the meeting
  • all past papers – since 1997 – remain online and are listed in a searchable bibliography at http://conference.archimuse.com/biblio
  • the MW2011 program will have a full set of commenting facilites [like blogs and forums do] to encourage questions and comments before, during and after the meeting
  • we have a very active twitter community around @museweb [that's me] and the #mw2011 tag and we're working on pulling tweets into the comment mix too. right now, we aggregate references using a yahoo pipe [see the MW on the Web block in the sidebar]. this group is particularly active during the meeting.
  • all MW2011 speakers have profiles here on http://conference.archimuse.com and you'll be able to use their contact forms to get in touch or follow up.

we've also got a program for student volunteers that you might want to investigate.

all that said, we're not adverse to webcasting; if anyone wants to volunteer please get in touch!

If we decide to show our product as a Demonstration, how long is the Demonstration period? Does that mean that their is a finite time to show the product, i.e. 2 hours? or is it an all day event?

Hi Wendy,

Museums and the Web Demonstrations are for not-for-profit organizations to show their work to each other. The sessions are a couple of hours long [we're still working on the final timing], and many demonstrations take place at the same time. There are some great photos of the Demo Hall from MW2010 in our Flickr group. Here's last year's schedule.

Commercial companies are encouraged to join the Exhibit Hall, where they will have a longer time to be sure that all delegates can see their products. There are also other opportunities for sponsorship and advertising. See full details at http://conference.archimuse.com/mw2011/exhibit.html

I have just seen that the status of my proposal under workflow has changed to "offered". There are two other buttons: "accepted" and withdrawn. Does that mean that the proposal has been approved by the MW2011 review panel and I would now have to accept the offer to present? Sorry, but the wording is a bit unclear. Thanks for your help! Axel

Yes, students are welcome at Museums and the Web.

There are special registration rates for full-time students, so you can come and participate in the debate.

Students also Volunteer to help out at the conference, exchanging a few hours of help each day for full registration. For details, see the Volunteer Contract (PDF).

In past years we have had sessions where student research was reported, courses discussed, and training needs reviewed. All these have been scheduled in response to suggestions from the community.

abstracts in proposals are ususally 250-750 words, with a few references if appropriate. they are often somewhat shorter in a published paper. for an example, see http://www.archimuse.com/mw2010/abstracts/prg_3350...

you can find sample biographies from previous conferences linked from the speakers' names in the list above. to get started, you can set yourself up with profile on this site that has the same kind of information.

yes, all speakers at MW2011 pay registration fees (as outlined in the MW2011 Speakers Acceptance Form).

MW is a very participatory meeting, with a very high proportion of delegates presenting in some way. It's also entirely self-supporting.

With everyone registering, that shares the costs across as many people as possible.
